Privacy notice
Privacy & POPIA
Effective 21 July 2026
Sorgenfrei Marketing ("we", "us", "our") respects your privacy. This notice explains, in plain language, what personal information we collect through sorgenfrei.co.za and this platform, why we collect it, how long we keep it, and how to exercise your rights under South Africa's Protection of Personal Information Act, 2013 ("POPIA"). It describes our own privacy practice — it isn't a substitute for formal legal advice.
What we collect, and why
What personal information we collect
When you enquire, request a quote, or ask about a storefront
Your name, email address, phone number, and company name (where you give them), and the details of your enquiry or brief. If you're requesting a quote or a storefront, we also collect any artwork, logo, or document you choose to upload with that form — the general enquiry form has no file upload.
When you place an order
Your name, email address, phone number, delivery address, and the order itself (products, quantities, and any reference number you provide). We do not collect or store card or banking details ourselves — payment is by EFT against an invoice, referencing your order number.
When you look up an order
The order number and email address you enter, used only to confirm you're entitled to see that order's status.
When you order through a storefront
It depends how your organisation’s storefront is set up. With an access-code store, we hold the access code your organisation gave you — redeeming it is how you sign in, and there is no account to create — plus a session cookie that keeps you signed in. With a login store, we hold your name, work email address, a securely hashed password, your role and the branches you may order for. Your organisation’s administrators and Sorgenfrei can see that you have access and can switch it off; nobody can see your password. In both cases we also keep the same order details listed above.
Why we collect it
We only collect what we need to do the following — never more than that:
- Responding to your enquiry, quote request, or company-store question.
- Preparing, producing, fulfilling, and delivering an order you've placed.
- Operating a storefront on your organisation's behalf, and letting you track an order's status.
- Preventing spam and abuse of our forms.
- Meeting our own legal, tax, and financial record-keeping obligations.
Sharing, storage & security
Who we share it with
We share personal information only where it's needed to do what you've asked us to do — for example, passing a delivery address to the courier or supplier fulfilling your order, or your artwork to the decorator branding your product. We use trusted service providers (such as email delivery) to run this platform. We do not sell your personal information, to anyone, ever.
Artwork and uploaded files
Any logo, artwork, or document you upload is used only to quote and produce the branded product you've asked for, and is shared only with the supplier or decorator actually producing it.
How long we keep it
We keep enquiry, quote, and order records for as long as reasonably needed to respond to you and fulfil your order, and afterwards for as long as South African financial and tax record-keeping practice generally requires — typically up to five years — after which it is securely deleted or de-identified.
Keeping it secure
Data is transmitted over encrypted (HTTPS) connections, access is limited to staff who need it to do their job, and session cookies are signed so they can't be tampered with. No system is perfectly secure, but we take reasonable, appropriate measures to protect what you share with us.
Cookies we use
We use a small number of essential cookies to make the site work — an anonymous cart identifier so your cart persists as you browse, and, if you're using a storefront, a signed session cookie so you stay signed in. None of these cookies are used for advertising or tracking you across other sites, and none contain personal information beyond what's needed to keep your own session working.
